STAFF RECRUITED ON CONTRACTS

In addition to permanent officials, the European Commission offers non-permanent positions.
There are two categories of non-permanent staff:

temporary agents are recruited to fill vacant positions for a set amount of time or
to perform highly specialised tasks.

• contract agents may provide additional capacity in specialised fields where an
insufficient number of officials is available or carry out a number of administrative or
manual tasks. They are generally recruited for fixed-term contracts (maximum 6 years in
any EU Institution), but in some cases they can be offered contracts for an indefinite
duration (in offices, agencies, delegations or representations).

WE ARE

The Director -General of DG Agriculture and Rural Development is looking for an administrative
agent to join her team to provide administrative and logistical support to his policy assistants.

WE PROPOSE

We propose a stimulating position as administrative agent to the policy assistants. This post offers
the opportunity to work in very close contact with the Director -General’s team as well as the entire
Directorate General.

The administrative assistant will support the policy assistants to the Director
facilitate their various horizontal/day-to-day tasks. He/she will

− manage the functional mailbox and monitor and inform policy assistants on assignments

and e-signatories received to the virtual entity in Ares,

− ensure appropriate follow

-up of correspondence (oversee workflow, deadlines,

dissemination of ARES notes),

− provide support in the preparation of senior management meetings and draft the minutes,
− upon request, print documents;
− encode briefings requests in BASIS for meetings of the Director -General;

− ensure that space, infrastructure, office supplies, inventoried goods and other logistics

respond to access to documents requests received for the Director -General,

needs of the policy assistants’ offices are duly covered.

He/she will ensure a proper information flow between the DG’s office and units in order to facilitate
the work and coordination with the units in the Directorate-General.

When required, the administrative assistant will act as back -up to other administrative assistants in
the team.

WE LOOK FOR

A pro-active, motivated and reliable colleague with excellent organisational skills, a solid sense of
priorities and very good team spirit. The colleague should be able to work autonomously, with a
sense of initiative and responsibility and have the ability to
situations. It is also essential that the candidate has a strong sense of discretion.

cope with sometimes stressful

As DG AGRI is a fully paperless DG relying on a range of IT applications, proficiency in ARES is
therefore indispensable. A good knowledge and applied skills in M365 are an advantage, notably
Teams, Word and Excel. Given that the tasks involve making attributions of files within DG AGRI,
knowledge of DG AGRI and its procedures and work methods would present an advantage. Affinity
to using modern communication and video recording tools would also be an advantages.

Prior experience in administrative tasks is required as well as very good communication skills in
English.

Qualifications:
FOR AST and AST/SC jobs: In order to be recruited for this position, you must have at least

• a level of post -secondary education attested by a diploma, or
• a level of secondary education attested by a diploma giving access to post

education, and appropriate professional experience of at least three years .

Servants. As a member of staff of the European institutions, your pay is subject to a tax raised by
those institutions.
